The European Policy Centre (EPC), an independent and not-for-profit think tank focused on European integration, is recruiting an Operations Assistant to strengthen its operations team in Brussels, Belgium.

The position is aimed at candidates at the beginning of their professional careers who are interested in office operations, administration, technology, AI tools and project management within an international policy organisation.

About the European Policy Centre

The European Policy Centre is an independent think tank working across a wide range of European policy areas. Its overall objective is to contribute to and support European integration.

The successful candidate will join the EPC operations team and provide practical support to staff, visitors and the organisation’s day-to-day activities.

What will the Operations Assistant do?

The role combines reception, office management, technical assistance and administrative support.

Key responsibilities include:

Front desk and reception

The assistant will welcome visitors coming to the EPC offices for meetings and help ensure that visitors are properly accommodated.

Office management

Responsibilities will include:

  • Maintaining the EPC office environment
  • Ensuring common areas remain tidy and welcoming
  • Monitoring office supplies
  • Ordering supplies when necessary
  • Keeping an overview of the office set-up
  • Coordinating equipment maintenance with external providers

Technical and IT support

The position also has a technology component. The assistant will:

  • Help colleagues with basic computer-related issues
  • Liaise with the organisation’s IT maintenance provider
  • Assist with the introduction and use of AI tools within the organisation
  • Provide basic troubleshooting for simple office IT problems

EPC says that being AI-native or having basic experience creating AI agents would be a major advantage.

Meetings and administrative support

The successful candidate may also be responsible for:

  • Setting up regular online meetings
  • Taking minutes during selected team meetings
  • Editing minutes generated from AI recordings
  • Completing ad hoc tasks for the Chief Operating Officer

Skills and competencies

EPC is looking for a confident and outgoing person with a positive “can do” attitude.

The ideal candidate should be:

Candidates should be competent English speakers.

Knowledge of French or Dutch would be an advantage, which could be particularly useful in the Brussels-based international working environment.

Education requirements

Applicants should have a higher education diploma, preferably in a technical or administrative field.

The organisation is also looking for someone interested in developing their project management skills and who enjoys organising and managing professional spaces.
